The Avatar

Families researching care for a medically fragile child do not browse. They ask. Revive needed those questions answered at 11pm on a Sunday, not returned as a voicemail on Monday. So we gave their website a face.

Why it matters

This is not a chatbot bolted onto a contact form. It is a conversation with the brand itself, and it captures the families and nurses who would otherwise leave without a word.

Zoey lives here, so the site comes next. We rebuilt reviveprivatecare.com around the people it serves, combining WordPress with AI through design and build: warm, clear, and made to convert visits into care requests, referrals, and nurse applications. Zoey rides along site wide. Visitors who do not want to read can just ask, and their conversations feed the same pipeline as the forms.

The Recruiting Platform

Revive's real bottleneck was operational: matching specialized pediatric nurses to children, then keeping anxious parents informed while it happens. That work lived in spreadsheets, texts, and memory. We replaced it with one platform that runs the pipeline end to end, staff on one side, families on the other.

Recruiting pipeline

Every nurse moves through meet, onboarding, scheduled, and active stages on a live board. No one gets lost between a phone screen and a start date.

Case management

Each child's case tracks priority, stage, assigned nurse, and family contact in one record, from care request to care start.

Family self-service

Families get their own portal login. Status checks that used to be phone calls become a glance at a timeline and a tap on a question.

Task engine

Work is assigned by role with priorities, categories, and due dates. Overdue items surface themselves before they become problems.

Analytics and audit log

Live KPIs on caseload and time to fill, plus a compliance grade audit trail with date range filters and CSV or Excel export.

Six staff roles from Clinical Director to Scheduler, each seeing what they need. Families see only their own child's case.

The platform went from an empty repository to a working deployment, with real data, in three days. Iteration continued in production from day one.

Recruiters, directors, and parents read from the same live record. Nobody reconciles spreadsheets, and nobody gives a family an answer that is three days stale.

Family questions land in a staff queue with full case context, get answered once, and are logged. The dashboard shows exactly how many families are waiting, so none wait long.

The platform is API first on a modern Postgres core, so it exchanges data instead of trapping it. We scope connections to your EHR/EMR, HR, and revenue systems as part of the build, whether that is pulling census data in or pushing placements out.
